Process
How an inspection works, from first email to final report
Nothing is payable until you accept a written quote. There is no instant checkout, because a visit has to be priced against a real address and a real scope.
- 1
Send the inquiry
Tell us the factory, the product and what you need checked.
Send the factory name and address, the product, and the date you need us there. A PO, spec sheet or packing list helps but is not required. You can send it through the form, by email, or on WhatsApp.
- Nothing is payable at this stage
- An inquiry is a request for a quote, not an order
- Attachments are welcome: spec, PO, packing list, previous reports
- 2
We review and quote
A written quote with a fixed fee and a proposed date.
We check the location, the scope and the man-days involved. You receive a written quote listing the service, the fee, the visit window and what is included — normally within one business day.
- Fixed service fee, not an hourly estimate
- Quote valid for 14 days
- Travel outside the main manufacturing regions is shown separately
- 3
You accept and pay the fee
The order is created when you accept the quote.
Accepting the quote opens card payment for the service fee only. The order is created with a reference number you can use in every later message.
- Payment by card through Stripe
- Only the inspection fee is charged — never the value of your goods
- You receive a receipt for the service fee
- 4
We go on site
The visit happens on the agreed date.
Upon arrival at the factory, we will carry out the inspection item by item according to your checklist, documenting the process with photographs throughout. If you are available and reachable, you may request that the inspector enable GPS tracking at any point during the visit. Should you wish to add any inspection items, you are welcome to coordinate this with our customer service team. Furthermore, upon completion of the visit, we will send you a brief message outlining the key findings, well in advance of the formal report being drafted.
- Photos and video taken during the visit
- Factory contact and arrival time recorded
- Problems flagged the same day
- 5
You get the report
A written report in English within 24–48 hours.
The report states what was checked, what was found, and what it means for your shipment. You can forward it to your customer, your factory or your QC team — it is written to be read by someone who was not there.
- Verdict per checklist item
- Defect or discrepancy photos with captions
- One clarification call or email thread included
Typical timeline
- Quote issued
- Within 1 business day
- Visit scheduled
- 2–4 business days ahead
- On-site time
- 3–8 hours, depending on scope
- Report delivered
- 24–48 — 8 hours after the visit
Where we can be on site
Most visits happen in the main manufacturing belts. Travel outside these areas is possible with a surcharge that is quoted before the visit, never added afterwards.

What happens when something goes wrong
The factory refuses access
We tell you the same day and document the refusal. You are not charged a second visit fee for a factory that would not let us in — the actual costs incurred (travel) are shown on the record.
The goods are not ready
If production is behind when we arrive, we document the actual state, count what exists and report. A follow-up visit is quoted as a new visit.
The address changes at short notice
Moving the visit inside the same city is usually possible. A different city is re-quoted, because the travel changes.
You need to reschedule
Rescheduling is free up to 48 hours before the visit. Closer than that, travel already booked is charged at cost.
Practical questions
Do I need a company account to request a quote?
No. You can send an inquiry with your name, email and the factory details. An account is only needed later if you want to track orders online.
Can you visit tomorrow?
Sometimes, if the factory is close and the scope is simple. Send the address and the date with your inquiry and we will tell you honestly whether it is possible.
Who do I talk to during the visit?
The same person who quoted the job. If you are awake and reachable, you can get a message from the factory floor with the first findings.
What if my factory does not speak English?
We work in Mandarin with the factory and write to you in English. Language is part of the reason buyers use a local presence instead of a video call.
Tell us what needs checking.
Send the factory address, the product and your timeline. You will get a written quote — no obligation, no payment until you accept it.
